Root Business Analytics Issues

Common questions and problems building, reading, and troubleshooting Root Analytics reports. These entries reflect the most common causes RamSoft Support sees, in order of likelihood. I want a report showing turnaround time, RVUs, or physician/referring-doctor breakdowns

Which route you take depends on the metric, and it's worth knowing up front that these three are not all in the same place.

Referring-physician breakdowns: start with Premium Reports. Premium Reports are pre-built and maintained by RamSoft, marked with a gold crown icon on the Root Homepage. The standard set covers Study, Patient, Storage, Referring Physician, and Data Export, so a referring-physician breakdown likely already exists rather than needing to be built. Premium Reports are normally available to everyone, but access can be switched off for a role, so if you don't see them at all, ask your administrator to check your role.

Turnaround time and RVUs: build a Custom Report. No Premium Report covers these, so don't spend time hunting for one. Both are available as fields you can build with:

  • Turnaround time has a set of pre-calculated average-TAT measures reached through Study, covering the common stage-to-stage intervals (ordered to completed, completed to signed, verified to signed, and so on).
  • RVUs live on procedure codes. Note the naming differs between where you set them and where you report on them: in the RIS procedure-code screen they're Work RVU, Practice RVU and Malpractice RVU, while in Root the reportable values are the professional (Work) and technical (Practice) components.

Still stuck? If a field you expect genuinely isn't in the field list, describe the exact metric you're trying to build and which report (Premium or Custom) you started from, whether it can be added depends on your organization's Root Analytics configuration.

A report returns zero rows with a specific date range, but works fine on "All Time"

Symptoms

  • A report or visual with a Date Range filter applied shows no data
  • The same report with no date filter, or set to "All Time," shows data normally

What to try

  1. Try a relative time grouping (for example "this month" or "last year" under Group by Time) instead of an explicit custom date range, as an interim workaround.
  2. If that doesn't help, contact RamSoft Support with the report name and the exact date range you tried - this behavior is being actively investigated.

Still stuck? Provide the report name, the exact date range attempted, and whether "All Time" shows the expected data.

Exported or displayed fields show blank, null, or unexpected values

Symptoms

  • A field like referring physician, turnaround time, or exam/CPT code shows blank, null, or a value that doesn't match what you expect

Likely causes

  1. The field only populates after a later step in the workflow - for example, a turnaround-time or sign-off-related field won't have a value until the report is actually signed
  2. Your role or organization doesn't have access to the data the field draws on
  3. That field isn't currently populated in Root's dataset, so it comes through empty regardless of the underlying record

What to try

  1. Confirm the study or report has reached the workflow stage the field depends on (for example, a TAT figure tied to sign-off won't populate on an unsigned report).
  2. Ask your administrator whether your role or organization has full visibility into the data the report expects.
  3. If the field is blank across many unrelated records rather than one or two edge cases, contact support with the report name and an example record - this may point to a data-mapping issue on RamSoft's side rather than something fixable on your end.
