Setting Up Scheduler
Overview
The OmegaAI Scheduler allows you to manage patient appointments directly within your workflow. Before your team can begin scheduling, a few configuration steps are required to ensure the Scheduler is set up correctly for your organization.
This article provides a quick-start guide. Each step links to the detailed article for full instructions.
Step 1: Navigate to the Scheduler
Click the Calendar icon on the right-side navigation bar to open the Scheduler.

Step 2: Create Your Healthcare Services
Healthcare Services are the bookable resources that appear as columns in the Scheduler calendar. You must set up at least one Healthcare Service before appointments can be scheduled.
For each service, you will configure:
- Resource name and display color
- Modality (e.g. CT, MRI, US)
- Default appointment duration
- Working hours and days of operation
- Overbooking settings

→ See Setting Up Healthcare Services for full instructions.
Step 3: Add Resources to Your Scheduler View
Once Healthcare Services are created, each user can choose which resources to display as columns in their Scheduler calendar. Resources can be shown or hidden at any time, and their order can be rearranged to suit your workflow.
If no resources are selected, the calendar displays a "No resources selected" message — select at least one resource to view the scheduling timeline.

→ See Adding a Service to Your Scheduler View for full instructions.
Step 4: Familiarize Yourself with the Scheduler
Before scheduling appointments, it is helpful to understand how to navigate the calendar — including switching between Day, Week, and Month views, adjusting time intervals, and filtering by appointment status.

→ See Scheduler Overview & Navigation for full instructions.
Step 5: Start Scheduling
Once your Healthcare Services are configured, you are ready to begin scheduling appointments. Appointments can be created by dragging studies from the Worklist or directly from the calendar.

→ See Requesting and Managing Appointments for full instructions.
Step 6: Set Up Block Time
If your organization needs to reserve time slots for non-appointment activities such as meetings, maintenance, or administrative tasks, block time can be configured directly from the Scheduler calendar.

→ See Setting New Block Time from Calendar for full instructions.
Step 7: Use the Parking Bay
The Parking Bay allows users to temporarily hold studies that are not yet ready to be scheduled and place them into the right time slot when ready.

→ See Using the Parking Bay for full instructions.
